PROJECT ASSISTANT - SACRAMENTO, CA - COMMERCIAL KITCHEN DESIGN/BUILD

We have an excellent position for a Project Assistant with a well established Commercial Kitchen Design/Build Organization.The Project Assistant performs a variety of analytical and administrative duties to include, assisting the Project Manager with quotes, keeping in constant communication with contractors and sub-contractors, and working with the team as in-house administrative support in order to ensure timely completion of projects.

ESSENTIAL FUNCTIONS & BASIC DUTIES:
• Provide administrative and logistic support for both Account and Project Manager
• Assist Account Manager and Project Manager with accurate project quotations
• Import and maintain customer projects into Alert
• Create and process project change orders
• Create sales orders in Alert
• Create and maintain project binder to ensure all project data is accounted for and organized appropriately
• Follow up with sub-contractors for progress report, submission of reports and recent data on target dates and other information
• Create purchase orders and notify Project Manager of any potential issues
• Create and maintain purchase order spreadsheet in order to track project items/orders
• Review manufacturer order acknowledgments against purchase orders
• Send installers paperwork (pick ticket, floor plan, PO, serial # sheet)
• File pre-liens in order to secure payment
• Meet on a regular basis to provide project updates and share relevant information
• Communicate dates and items for shipments to and from warehouse
• Create pick-lists and send to warehouse for installers
• Retrieve invoices from pick-list deficiency lists
• Create equipment warranty manuals
• Create cut sheet books, maintain current cut sheets
• Maintain project schedule on an excel spreadsheet for easy reference
• Manage all replacement equipment orders
• Manage all warranty service/service channel requests
• Send customer thank you/acknowledgment gifts
• Close projects in Alert once completed
• Perform all other duties as may be assigned

• Intermediate knowledge of software applications in Word, Excel, Outlook and PowerPoint
• Ability to interface well with all departments of the company and represent the company in a highly professional manner
• Must be detail-oriented: able to identify required tasks and execute appropriately
• Ability to manage multiple tasks at one time
• Present a professional, clean, well-groomed appearance

EDUCATION AND WORK EXPERIENCE:
• Minimum two (2) years’ administrative/data entry related experience in a customer service focused industry
• 1-2 years’ experience in a project related environment
• High School diploma required. Bachelor’s degree in related field preferred and/or demonstrated capability through previous experience and education to perform job responsibilities
